Why convert PowerPoint (PPTX) to PDF

A 40 MB PPTX does not open on most phones and requires PowerPoint or a compatible app. As a PDF it is a fraction of the size and displays the same everywhere, animations aside.

Slides are exported at their designed aspect ratio (16:9 or 4:3) as vector pages: text stays selectable and diagrams stay sharp when zoomed, unlike screenshots of slides.

How it works

About the formats

PowerPoint (PPTX) · Microsoft PowerPoint presentation · .pptx

The current PowerPoint format: slides with layouts, animations, speaker notes and embedded media.

  • Converting PPTX to PDF exports one page per slide and drops animations and transitions.
  • Fonts not embedded in the file are substituted on other machines, which can reflow text boxes.
  • Speaker notes are not included in a standard PDF export.

PowerPoint 97–2003 (PPT) · Legacy PowerPoint presentation · .ppt

The binary PowerPoint format used until 2007; opens in modern PowerPoint but not in most web viewers.

  • PPT files cannot store newer features like SmartArt natively.
  • Google Slides converts PPT on import.
  • Macros may be embedded, so some systems block PPT attachments.

ODP · OpenDocument presentation · .odp

The LibreOffice Impress presentation format, an open standard that PowerPoint can also open.

  • ODP supports slide masters, notes and transitions like PPTX.
  • Exporting ODP to PDF preserves slide layout exactly; animations are dropped.
  • ODP is part of the OpenDocument ISO 26300 family.

The fixed-layout document standard: looks the same on every device and printer, which is why forms, invoices, contracts and reports are shared as PDF.

  • A PDF can contain vector text, embedded fonts, images, form fields, annotations and digital signatures.
  • Scanned PDFs are just pictures of pages; they need OCR before the text can be searched or copied.
  • PDF is an open ISO standard (ISO 32000) since 2008.
