Why convert Excel (XLSX) to PDF
Spreadsheets shared as XLSX invite edits and reveal formulas and hidden sheets. A PDF shows only what you intend — the print area, the visible sheets, the values.
The workbook’s page setup (orientation, fit-to-width, repeat header rows, print area) is honoured, so a wide table is not chopped into confusing fragments. Charts are rendered as vector graphics.

About the formats
Excel (XLSX) · Microsoft Excel workbook · .xlsx
The current Excel format: multiple sheets, formulas, formatting, charts and pivot tables in one file.
- XLSX stores both the formula and its last computed value, so a converted CSV contains the values.
- Maximum 1,048,576 rows and 16,384 columns per sheet.
- XLSM is the same format with macros enabled.
Excel 97–2003 (XLS) · Legacy Microsoft Excel workbook · .xls
The binary Excel format used until 2007, limited to 65,536 rows and increasingly refused by web apps.
- XLS supports 65,536 rows and 256 columns per sheet — larger data is silently cut off.
- Many banks and legacy systems still export XLS.
- Excel opens XLS in Compatibility Mode and recommends saving as XLSX.
ODS · OpenDocument spreadsheet · .ods
The LibreOffice Calc spreadsheet format, an open ISO standard that Excel and Google Sheets can also open.
- ODS supports formulas, multiple sheets and charts like XLSX.
- Some Excel-specific functions and pivot features do not round-trip through ODS.
- ODS files are ZIP archives of XML, like ODT.
PDF · Portable Document Format · .pdf
The fixed-layout document standard: looks the same on every device and printer, which is why forms, invoices, contracts and reports are shared as PDF.
- A PDF can contain vector text, embedded fonts, images, form fields, annotations and digital signatures.
- Scanned PDFs are just pictures of pages; they need OCR before the text can be searched or copied.
- PDF is an open ISO standard (ISO 32000) since 2008.
